Maintenance and lifespan

How long does a photocopier last?

A photocopier's life is best measured in pages rather than years. A well-maintained office machine run within its recommended volume typically gives several years of service, with wear parts replaced along the way; one run beyond its rating, or without maintenance, wears out much sooner. Replacement makes sense when repairs become frequent, parts become hard to get, or your needs outgrow the machine.

What determines a photocopier's lifespan

  • Machine class: a high-duty A3 MFD is engineered for far more pages than a desktop printer.
  • Volume relative to rating: running a machine near its maximum duty cycle every month shortens its life.
  • Maintenance: scheduled replacement of wear parts keeps the core machine healthy. See the maintenance guide.
  • Environment: dust, heat, humidity and unstable power all shorten life.
  • Parts support: once a model's parts are discontinued, repairs get harder.

Wear parts and the machine itself

Drums, rollers, fusers and developer units are designed to be replaced at rated page counts. Replacing them is normal and does not mean the machine is failing. The main frame, motors and electronics last much longer. The question is when the cost of keeping it running exceeds the cost of a newer machine.

Signs it is time to replace

  • More than occasional breakdowns, despite maintenance.
  • A single repair quote approaching the value of the machine.
  • Parts or toner becoming hard to source for the model.
  • Volume or requirements (colour, A3, scanning, security) it cannot meet.

Is it worth repairing an old photocopier?

If the repair is a routine wear part and the model is still supported, usually yes. If repairs are frequent or parts are scarce, put the money toward a replacement or exchange.

How many copies can a photocopier make in its life?

It varies widely by class. Manufacturers rate components in pages, for example a drum life of 600,000 copies on the Kyocera TASKalfa MZ3200i, and the machine is designed to outlast several such parts with maintenance.
