Choosing a machine

Which photocopier is best for a small business?

The best photocopier for a small business is the smallest machine that comfortably handles your monthly volume and paper sizes. For a small office printing mostly A4 black text, an A4 mono multifunction machine is usually enough. If you copy A3, run several hundred pages a day, or share one machine across a team, choose an entry A3 mono multifunction photocopier, and add colour only if you print colour often.

Step 1: estimate your monthly volume

Count prints plus copies in a typical month. A rough method: reams of paper used per month × 500. If the current machine shows a page counter, take two readings a month apart. Then compare that figure to the manufacturer's recommended monthly volume, not the maximum duty cycle. The duty cycle is a ceiling the machine can survive, not what it should do every month.

Step 2: match the machine class

Step 3: check the features that matter

  • A document feeder if you copy or scan multi-page documents. See ADF and duplex explained.
  • Duplex printing to cut paper use.
  • Network printing and scan to email or folder, so everyone can use it from their desk.
  • Paper capacity matched to volume. The Canon imageRUNNER 2925 holds 1,100 sheets in two cassettes as standard.
  • Secure printing or user accounts if confidential documents go through it.

Step 4: work out running costs and service

A cheaper machine with expensive or hard-to-find toner costs more over three to five years. Ask for the toner yield and price, the drum or maintenance kit interval, and who will service it. Read how to reduce office printing costs for the full calculation.

Should a small business buy or rent?

Buying suits businesses with steady volume and cash to spend; renting suits those that want a predictable monthly cost with service included, or that need a machine for a fixed period. See buy vs rent a photocopier.

Is an A4 photocopier enough for a small office?

Yes, if you never need A3 and volume is moderate. A4 multifunction machines cost less and take less space. If you copy books, drawings or ledgers, choose A3.

What is a duty cycle?

The maximum number of pages a machine is rated to print in a month. The recommended monthly volume is much lower, and that is the figure to plan around.

Which photocopier brand is best?

Canon, Kyocera, Konica Minolta and Xerox are all established office copier brands. Local service and toner availability matter as much as the brand, so buy from someone who will maintain it.
