Photocopier and printer basics
What is a photocopier?
A machine that makes paper copies of documents. Modern digital photocopiers scan the original and print it with toner, and most also print from computers and scan to email, which makes them multifunction devices.
How a photocopier works →What is the difference between a printer and a photocopier?
A printer prints from devices; a photocopier copies, and today also prints and scans. Photocopiers are built for higher volume and A3 paper, cost more to buy and usually less per page.
Photocopier vs printer →What is a multifunction printer?
A single machine that prints, copies and scans, and sometimes faxes. Also called an all-in-one, MFP or MFD.
Multifunction printers explained →What is the difference between laser and inkjet printers?
Laser printers fuse toner powder with heat and excel at fast black text. Inkjets spray liquid ink and excel at colour and photos; ink tank inkjets have the lowest cost per page.
Laser vs inkjet →What is the difference between A3 and A4 printers?
An A4 printer handles sheets up to 210 × 297 mm. An A3 printer handles sheets twice that size, 297 × 420 mm, as well as A4. A3 is needed for drawings, ledgers, notices and booklets.
A3 vs A4 →What is the difference between toner and ink?
Toner is a dry powder used by laser printers and copiers; ink is a liquid used by inkjet and ink tank printers. They are not interchangeable.
Toner vs ink →What is an automatic document feeder?
A tray on top of a copier or scanner that feeds a stack of originals in one at a time, so you can copy or scan multi-page documents without lifting the lid for each page.
ADF and duplex explained →What is duplex printing?
Automatic printing on both sides of a sheet. It roughly halves paper use on long documents.
ADF and duplex explained →What does ppm mean?
Pages per minute, the rated print speed. ipm (images per minute) is a standardised measure used by some manufacturers and is usually lower than the headline ppm figure.
Buying and choosing
Which photocopier is best for a small business?
The smallest machine that comfortably handles your monthly volume and paper sizes: an A4 multifunction machine for light A4 work, an entry A3 mono copier for a shared office machine or any A3 work.
Small business guide →Which printer is best for an office?
For mostly black text, a mono laser printer or laser all-in-one. For a busy shared machine, a laser-class multifunction device. For low-cost colour at moderate volume, a business ink tank all-in-one.
High-volume office printers →Should I buy or rent a photocopier?
Rent for no upfront cost, bundled service or a fixed period. Buy for steady volume over several years, where it usually costs less in total.
Buy vs rent →How much does a photocopier cost in Kerala?
It depends on format, speed, colour and options, and prices change with models and offers, so ask for a written quote. Compare running costs too, which often exceed the purchase price over the machine's life.
Photocopier price guide →What should I consider before purchasing a commercial printer?
Monthly volume against the recommended volume, paper sizes, colour, document feeder, network scanning, paper capacity, toner cost per page, and who will service it locally.
What to check →Which photocopier is suitable for schools and colleges?
An A3 mono multifunction copier for office work, often alongside a digital duplicator for long runs of question papers.
Schools and colleges guide →Which printer is best for home use?
A colour ink tank all-in-one if you print colour or photos; a compact mono laser if you print only black text and sometimes go weeks between jobs.
Ink tank printers →Faults and maintenance
Why is my printer printing blank pages?
Usually empty ink or toner, packing tape left on a new cartridge, clogged inkjet nozzles, or a toner cartridge or drum not seated properly.
Fix blank pages →Why does my photocopier produce faded copies?
Low toner, a density setting, a worn drum, a dirty scanner glass or damp paper. If prints are fine but copies are faded, the fault is on the scanner side.
Fix faded copies →What causes paper jams?
Damp, curled or wrong paper, overfilled or misaligned trays, worn rollers, and scraps left from an earlier jam. Humidity is a common cause in Kerala.
Paper jams →How often should a photocopier be serviced?
By page count. Manufacturers state maintenance intervals in pages; busy machines reach them quickly and need regular scheduled visits.
Maintenance guide →How long does a photocopier last?
Several years for a well-maintained office machine run within its rated volume, with wear parts replaced along the way. Life is better measured in pages than years.
Photocopier lifespan →Why are there lines on my photocopies?
Lines on copies but not on prints usually mean dirt on the document feeder's narrow glass strip. Clean it with a soft cloth. Lines on prints too point to the drum or another internal part.
Copy quality problems →Why does my printer say it is offline?
Usually a lost network connection, a changed IP address, or the wrong printer selected on the computer. Restart the printer and router, and check the printer has a fixed address on the network.
Printer installation →Costs, rental and contracts
How can businesses reduce printing costs?
Set duplex and mono as defaults, scan instead of copying, consolidate small printers into fewer efficient machines, compare cost per page, track use by department and maintain machines.
Reduce printing costs →Is photocopier rental more economical than purchasing?
For short periods or uncertain volume, usually yes. Over several years of steady use, buying usually costs less in total.
Buy vs rent →What is an annual maintenance contract?
An agreement where a provider maintains your machine for a year for a fixed fee. Non-comprehensive AMCs cover visits and labour; comprehensive AMCs also cover most parts. Toner is usually excluded.
AMC explained →How much does photocopier maintenance cost?
It depends on the machine, its age and volume, and what is covered. A comprehensive arrangement on a busy A3 machine costs more than visits-only cover on a light A4 one. Get a written quote.
What affects maintenance cost →How is photocopier rental priced?
Usually a monthly rent, often with an included copy allowance and a per-copy charge beyond it, sometimes with a deposit. The machine, volume, term and inclusions set the amount.
Rental cost in Kochi →What are the benefits of multifunction printers?
One machine instead of a printer, copier and scanner: less space, one set of consumables, one service contact, and scanning straight to email or folders.
MFP benefits →In Kochi and Ernakulam
