Maintenance and lifespan

Photocopier maintenance: what to do and how often.

Good photocopier maintenance has two parts: simple user care (clean glass, correct paper stored dry, jams cleared gently, toner replaced promptly) and scheduled technician servicing that cleans the inside, replaces worn rollers, drums and fuser parts at their rated page counts, and calibrates image quality. How often to service depends on volume; the manufacturer's maintenance kit intervals, stated in pages, are the guide.

What users should do

Daily

  • Load paper squarely with the side guides touching the stack.
  • Clear any jam by following the machine's on-screen guide, pulling paper in the direction of travel.
  • Keep the area around vents clear.

Weekly

  • Wipe the platen glass and the narrow glass strip used by the document feeder with a soft, lint-free cloth. Dirt on that strip causes lines on every copy.
  • Wipe the feeder rollers if the machine has a cleaning procedure for them.
  • Check toner levels and keep one spare.

Always

  • Use paper within the machine's weight range, and the correct tray setting for labels or thick stock.
  • Keep reams wrapped until use. In Kerala's humid climate, paper left open absorbs moisture, curls and jams.
  • Use a stable power supply. Voltage fluctuations can damage electronics.

How often should a photocopier be serviced?

By volume. Manufacturers state maintenance intervals in pages. For example, the Kyocera ECOSYS M2040dn in our range uses an MK-1158 maintenance kit rated for 100,000 pages, and the Kyocera TASKalfa MZ3200i lists a drum life of 600,000 copies. A busy office machine reaches these intervals quickly and benefits from regular scheduled visits; a lightly used machine needs fewer. Your technician should read the page counter at each visit and plan the next one from it.

Can I clean the inside of my photocopier myself?

Clean only what the manual tells you to: glass, feeder strip and accessible rollers. Inside, the fuser is hot and the drum is easily scratched, so leave that to a technician.

What is a maintenance kit?

A set of wear parts, such as rollers, a fuser or a drum, that the manufacturer recommends replacing together at a stated page count.
