Why preventive maintenance pays
Photocopiers wear in predictable places: rollers lose grip, drums wear, fusers age, and paper dust and toner build up inside. Catching those on a scheduled visit costs less than a breakdown in the middle of a billing run or an exam week. Our photocopier maintenance guide explains what gets checked and how often.

Common questions
Do you offer an annual maintenance contract (AMC)?
We offer scheduled preventive maintenance for photocopiers and printers. Ask us about a maintenance arrangement for your machines and we will confirm in writing what it covers and what it costs.
What an AMC usually covers →How often should a photocopier be serviced?
It depends on volume. A busy office machine benefits from regular scheduled visits, while a lightly used one needs fewer. The manufacturer's maintenance kit intervals, stated in pages, are the best guide.
Photocopier maintenance guide →Do you maintain machines from other suppliers?
Yes. We maintain Canon, Kyocera, Konica Minolta and Xerox multifunction devices whether or not we supplied them.
Guides
- Which printer is best for a high-volume office? For a high-volume office, choose a laser-class multifunction device rated well above your monthly volume, with high-yield toner, large paper capacity, a document feeder, network scanning and a local service arrangement. For mostly black text that usually means an A3 or A4 mono MFD; business ink tank printers suit offices with moderate volume that need low-cost colour.
- How can businesses reduce printing costs? To reduce office printing costs, measure what you print, then cut the waste: set duplex and black-and-white as defaults, scan instead of copying, consolidate many small printers into fewer efficient machines, choose consumables with a low cost per page, track use by department, and maintain machines so they do not fail and waste paper. The biggest savings usually come from right-sizing equipment and changing defaults.
- What is an annual maintenance contract (AMC) for a photocopier? An annual maintenance contract (AMC) is an agreement in which a service provider maintains your photocopier or printer for a year for a fixed fee. A non-comprehensive AMC typically covers scheduled visits and labour, with parts billed separately; a comprehensive AMC also covers most parts. Consumables such as toner and paper are usually excluded. The cost depends on the machine, its volume and how much the contract covers.
- Photocopier maintenance: what to do and how often.Good photocopier maintenance has two parts: simple user care (clean glass, correct paper stored dry, jams cleared gently, toner replaced promptly) and scheduled technician servicing that cleans the inside, replaces worn rollers, drums and fuser parts at their rated page counts, and calibrates image quality. How often to service depends on volume; the manufacturer's maintenance kit intervals, stated in pages, are the guide.
- How long does a photocopier last?A photocopier's life is best measured in pages rather than years. A well-maintained office machine run within its recommended volume typically gives several years of service, with wear parts replaced along the way; one run beyond its rating, or without maintenance, wears out much sooner. Replacement makes sense when repairs become frequent, parts become hard to get, or your needs outgrow the machine.
- Why does my photocopier produce faded copies?Faded or light copies are usually caused by low toner, a density or toner-save setting, a worn drum, a dirty scanner glass or optics, or damp paper. A simple test tells you where to look: if printed pages from a computer are fine but copies are faded, the problem is on the scanner side; if both are faded, it is in the print engine (toner, drum, transfer).
- What causes paper jams, and how do you stop them?Paper jams are most often caused by the paper itself (damp, curled, creased, too thick or the wrong type), overfilled or misaligned trays, worn pickup and feed rollers, or scraps left behind from an earlier jam. In humid places such as Kerala, moisture in paper is a leading cause. Store paper sealed, load it correctly, and have worn rollers replaced.
