Common ways rental is priced
| Structure | How it works | Suits |
|---|---|---|
| Fixed rent | One monthly amount regardless of use | Steady, predictable volume |
| Rent plus allowance | Monthly rent includes a set number of copies; extra copies are charged per page | Most offices |
| Per-copy only | You pay for each page counted on the meter | Variable volume |
| Short-term hire | Daily, weekly or monthly for a fixed period | Events, projects, exam season |
What changes the rental cost
- Machine class: A3 costs more than A4, colour more than mono.
- Volume: higher volume needs a bigger machine and more toner.
- Term: short-term hire costs more per month than a long agreement.
- Inclusions: toner, drums and parts included raise the rent but remove surprises.
- Location and access: delivery and installation at the site.
How to compare rental quotes
Turn every quote into one number: expected monthly cost at your real volume. For each quote, add the monthly rent to (expected copies − included copies) × excess rate, and note what is not included. A low rent with a small allowance and a high excess rate can cost more than a higher rent that includes your volume.
